Every LP document, sent to the right investor, and only them.
From the first PPM to the final distribution notice, a fund sends hundreds of confidential documents to investors. FileLink sends each one as a verified, watermarked link you can track and revoke, so you know who read what, and nothing lingers in an inbox after a commitment falls away.
Fund documents travel further than you think
A PPM emailed to a prospective LP gets forwarded to their adviser, their family office and their tax consultant. A capital call notice with bank details sits in an inbox for years. A quarterly report with portfolio valuations is saved to a laptop that is later lost. Every one of those copies is outside your control, and none of them tells you whether the investor actually read it.
For a fund, that is three problems at once:
Confidentiality. Offering documents, valuations and portfolio data are commercially sensitive, and often covered by your own confidentiality obligations to portfolio companies.
Accuracy. An old version of a PPM or side letter keeps circulating after you've issued a new one.
Evidence. When an investor says they never received a notice, an email "sent" receipt proves very little.
The fund lifecycle, protected at every stage
Fundraising
What you send: teaser, pitch deck, private placement memorandum (PPM).
The risk: decks and PPMs forwarded beyond the intended investor; no idea who is genuinely engaged.
With FileLink: send each prospect their own link with a one-time passcode (OTP) and a watermark carrying their email. See who opened the PPM, which pages they spent time on, and follow up with the investors who are actually reading.
Investor due diligence
What you send: track record, DDQ responses, fund terms, legal opinions.
The risk: sensitive track-record data and draft terms shared across many prospects at once.
With FileLink: require NDA acceptance before anything opens, share a whole diligence folder as one FolderLink, and set access to expire when the diligence window closes.
Onboarding
What you send: contribution agreements, side letters, KYC documents from investors.
The risk: investors emailing passports, PAN cards and bank details as attachments.
With FileLink: send agreements as view-only links, and give each investor a Secure Receiving link to upload KYC documents directly to you, without email.
Capital calls and drawdowns
What you send: drawdown notices with amounts, due dates and bank details.
The risk: a forwarded or spoofed notice, and disputes over whether it was received.
With FileLink: each notice goes to one recipient, who must enter a one-time passcode sent to their email before it opens. Bulk Invitations send every LP their own notice in one batch, with sent, pending or failed status for each, so you resend only where delivery failed. The activity log then shows when each notice was opened, with timestamp, IP and device, so you chase only the LPs who haven't opened it.
Quarterly and annual reporting
What you send: LP reports, NAV statements, audited financials, portfolio updates.
The risk: valuations and portfolio-company data circulating indefinitely.
With FileLink: keep reports view-only with downloads off, watermark every page, and revoke access to older reports when a new one is issued.
Tax statements, distributions and exits
What you send: tax statements for unit holders (such as Form 64C for Indian AIFs), distribution notices, exit memos.
The risk: personal tax and payout details in inboxes for years.
With FileLink: set an expiry on every statement, so the link closes after the filing season.
What fund teams use most
- Per-investor links.. One document, a separate link for each LP, each with its own activity log and its own revoke button.
- One-time passcode (OTP).. The recipient enters a code sent to their email before anything opens.
- NDA gate.. Investors accept your confidentiality terms before viewing. Each acceptance is logged with a timestamp.
- Dynamic watermarks.. The investor's email and IP appear on every page, so a leaked screenshot can be traced.
- View-only viewer.. Files stream to a secure browser viewer. Downloads and printing stay off unless you allow them.
- Engagement tracking.. Opens, pages viewed and time spent, by investor, with real-time email alerts.
- FolderLinks.. A whole diligence folder, subfolders included, behind one link.
- Outlook add-in.. Send any attachment from Outlook as a protected link in two clicks.
FileLink vs email for fund documents
| Email attachment | FileLink | |
|---|---|---|
| Who can open it | Anyone it's forwarded to | Only someone who enters the passcode sent to the recipient’s email |
| Know if it was read | No | Yes: opens, pages, time spent |
| Stop access later | Not possible | Revoke instantly, any time |
| Leaks traceable | No | Watermark with viewer’s email and IP |
| NDA before viewing | Separate process | Built in, logged |
| Old versions | Keep circulating | Revoke the old link, send the new one |
| Where it's stored | Every recipient's mailbox | Encrypted, in India |
When you need a full data room
FileLink is built for the steady flow of fund documents to investors. For a large fundraise with many investors running diligence at once, or for portfolio-company M&A, a virtual data room adds Q&A, granular folder permissions and deal-level reporting.
- DocullyVDR: full-featured virtual data room for complex, multi-party transactions. docullyvdr.com
- eDataRooms: a simpler data room for smaller deals and fundraises. edatarooms.com
Many funds use both: a data room for the raise, and FileLink for everything they send investors afterwards.
Security, in short
Files are encrypted in transit (TLS) and at rest (AES-256-GCM, a unique key per file), and stored in India (Mumbai), on infrastructure certified to ISO 27001 and SOC 2. No AI model reads, summarises or trains on your documents.
